The specific pay rate/salary offered to a candidate may be influenced by a number of factors including experience, education, specialized certifications from OEMs, and where the job is located.

The purpose and objectives of the HR Compliance Specialist are to ensure that an organization adheres to employment laws, regulations, and internal policies related to human resources.  The HR Compliance Specialist helps protect the organization from legal risks, promotes ethical practices, and supports a fair and compliant work environment.

Primary Functions & Responsibilities

  • Identifies and tracks federal, state and local laws and regulations that might affect the organization’s policies, practices, and procedures, including state laws that impact Employee Handbook and Supplements.
  • Manages employee notifications (ex. Notice of Hire) and trainings as required by State labor requirements. This includes reviewing appropriate training materials and modules to meet organization and compliance needs.
  • Compiles all compliance and mandates reporting requirements including those related to EEO, ADA, ERISA and the Department of Labor/BLS.
  • Ability to assist the organization to maintain a safe work environment, complies with OSHA regulations, and promotes a culture of safety among employees. Serves as liaison between management, employees, and GMG/OSHA representatives.
  • Assists with the project implementation of compliance process vendor partnerships – I-9, LOA etc.
  • Creates, manages, and reports HR risk management and compliance tracker to ensure organizational visibility to regulatory compliance status and mitigation plans.
  • Ensures that the US labor law posters are updated as necessary and as required.
  • Manages a current company job description database and ensures jobs are properly classified under FLSA.
  • Ensures mandatory trainings are updated and completed for new hires and existing employees.
  • Leads all internal audits related to I-9 and other compliance related audits – FLSA, WC, 401(k) etc.
  • Ensures all personnel records are maintained as per requirements.
  • Ensures the accuracy of monthly benefit bills.
  • Creates, manages and reports HR risk management and compliance tracker to ensure organizational visibility to regulatory compliance status and mitigation plans.

Position Requirements

  • Bachelor’s degree in human resources, Psychology or related fields or equivalent experience in HR.
  • Minimum of 3-5 years’ experience working in HR in a mid-sized organization.
  • Solid understanding of human resources policies and practices.
  • Demonstrated ability to interpret and review significant amounts of data while working within multiple systems.
  • Ability to research, understand and communicate complex and sometimes cumbersome labor laws.
  • Ability to handle multiple responsibilities simultaneously with excellent organizational skills.
  • Strong team player with the ability to serve as a business partner and provide both operational and strategic people focused solutions.
  • Experience and competency in HRIS a must; proficient in MS Office Suite.
  • Great attention to detail, ability to work under deadlines in a fast-paced environment.
  • Excellent written and oral communication and interpersonal skills required.
  • Strong knowledge of labor laws: This includes staying updated on changes in federal, state, and local regulations.
  • Experience and competency in HRIS a must; proficient in MS Office Suite, ADP Workforce Now.
